From separate tracks to one streamlined route

Setting the right course

The collaboration between BTS Logistics and Addmark started with a clear goal: more insight into data and more structure in sales. During the Strategy Mapping, we mapped out the full customer journey and sales flow together. We examined where information was scattered, how leads were followed up, and where automation could make a difference. Based on these insights, we set up Sales Hub Professional. All processes, from first contact to closing the deal, are now clearly recorded in one system. The new pipelines provide overview, clarity and better collaboration between the various international offices. Where separate threads used to run in parallel, a process has now emerged that gives direction to BTS's growth.

Staying in motion

From implementation to daily use

After the technical setup, the focus shifted to usage and improvement. We developed workflows that automatically carry out routine work and send (proactive) reminders for follow-up. This keeps the sales team moving without losing time on manual work. The Sales Workspace plays a central role here: from one overview, employees work with their own deals, tasks and communication, so follow-up never falls through the cracks. We also set up dashboards that let sales managers see at a glance how teams are performing, which deals are in the pipeline and where opportunities lie. To make the transition to HubSpot go smoothly, we provided the entire team with practical training before go-live. With that knowledge and structure, BTS now works smarter and more efficiently than ever, every day.

 

Approach

A strategically structured onboarding

With a strategic approach, we ensure that onboarding onto the HubSpot platform runs smoothly and successfully, with a focus on first impact. Within a maximum of 90 days, you and your team can get started with HubSpot to make the first impact with the resources you have available. How do we do that? We explain it in 5 clear steps.

We start by understanding your business and processes. We don't opt for a plug-and-play approach, but a tailored strategy combined with best practices for using and setting up HubSpot. We translate this whole story into an overall outline, choosing an ideal setup across the entire field of marketing, sales and service. This gives us a solid conversation piece with a clear point on the horizon, while you get a defined project plan per component.

Data is valuable, but only if it's organised and usable. As part of, and following on from, the Strategy Mapping, we work together to build an overview of the fields and any Custom Objects that are valuable for your business. In doing so, we also make sure to make them as 'dummy proof' as possible. That means we more often choose data fields with dropdown select, multiple checkbox or other fixed options rather than open text fields.

HubSpot offers many possibilities, but only if it's set up properly will the platform work for you instead of against you. We set up the right pipelines, configure smart marketing tools and workflows, and take manual tasks off your hands. We also add dashboards and reports for real-time insight. But we go beyond the basics: we connect HubSpot to existing systems, so everything works together smoothly. The result? A powerful and efficient platform.

Before we go live, we test everything down to the last detail. From data transfer to the workings of automations, forms and reports: everything is checked carefully. We do this together with you, so feedback can be processed immediately. This also ensures HubSpot fits perfectly with practice. It's obviously detrimental to adoption if a lot of changes still have to be made at go-live.

A good system is only truly valuable if everyone can work with it. That's why we provide practice-oriented, hands-on training in which users learn how to use HubSpot effectively right away. We provide clear explanations, concrete examples and practical tips, so the transition runs smoothly and the system is used to its full potential. We remain available for questions and actively think along about improvements. Of course, it only really starts once the onboarding is behind us.
